How to Use Mailchimp Brilliantly

…Even if you’re not ‘techy’


If you’re a UK small business or charity wondering, “Am I using Mailchimp properly?”, you’re not alone. We hear this question every couple of weeks.

Email is still one of the most powerful (and affordable) ways to reach your supporters, donors or customers. But Mailchimp can feel a bit much if you’re just sending the occasional newsletter. With so many features, and different payment plans, it’s easy to wonder if you’re ‘doing it right’.

Here’s how to use Mailchimp simply — and like a pro — no jargon, no unneccesary features.


1. Always Build (Not Buy) Your Email List

Only email people who gave you permission. Never buy lists. Ever!
Instead, you can offer freebies, checklists, free downloads or event updates in return for sign-ups. (Google and Mailchimp will love you for this.)


2. Use Tags to Stay Organised

Even small lists can get messy fast. Tag people as “customers,” “donors,” “event attendees” — then you can send the right message to the right people later. Future you will be so grateful.


3. Set Up an Automated Welcome Email

The simplest win! When someone joins your list, they get a warm “hello” and maybe a useful link — without you lifting a finger. Mailchimp has brilliant options for how you can do this, so use them!


4. Keep Your Subject Lines Honest and Clear

No “you won’t believe this!” spammy lines. No one likes that. Instead:
✔️ “Our Summer Fair: You’re Invited!”
✔️ “New Handmade Stock Just In”
✔️ “2025 Impact Report: What You Made Possible”


5. Test One Thing at a Time

Try A/B testing subject lines or send times. (Example: Do more people open your emails on a Tuesday or Friday?) Mailchimp makes this easy — and even tiny improvements help. If you’re doing this, make sure to set aside regular, protected time in your calendar to do your mailchimp testing.


Kind Reminder: You really don’t need fancy designs

Simple, clear emails often outperform flashy ones. One message, one ask, one button is often best — especially for small charities and local businesses. Need some reassurance? Look at your favourite newsletter you received this week, and see what you love about it. It won’t be the flashy features.
